Trial and billing
How long is the trial?
Seven days from the moment you verify your email. If your email is on a free domain (Gmail, Yahoo, Hotmail, Outlook), you also verify a South African mobile number — that's the one anti-abuse measure we use. No credit card.
What happens at the end of the trial?
You either pick a tier and add a card, or the account expires. We don't auto-charge anyone. We send a reminder seven days before, one day before, and on the day.
Can I cancel?
Any month, no exit fees. You'll keep access until the end of the period you've already paid for, then you have 30 days of read-only access to export anything you need. After that, the data goes through the POPIA retention pipeline.
How do I pay?
PayFast — debit order, credit card, or instant EFT. South African Rand only. We don't handle international cards.
Is the CCMA bundle really R199 every time?
Yes. It's charged when you generate one, on top of whatever your monthly subscription is. Most months you won't generate one.
Documents
Which documents does CasePilot generate?
Notice of Investigation, Charge Sheet, Notice of Hearing, Chairperson Minutes template, Outcome Letter, Certificate of Service, and the Warning record itself. Plus the CCMA bundle on demand.
Are the document templates lawyer-reviewed?
Yes — by a South African labour-law practitioner before each release. We re-review whenever the underlying instrument changes (most recently, the Code of Good Practice: Dismissal in September 2025).
Does CasePilot give me legal advice?
No. It's a workflow tool. Every document carries that disclaimer. For genuinely complex matters — large dismissals, retrenchments, anything with a union involved — talk to a labour lawyer.
How is the 48-hour rule handled?
When you set a hearing date, CasePilot won't let you pick a date sooner than 48 hours after the Notice of Hearing is dispatched. If the employee requests a postponement and you grant it, that's recorded too.
Can I edit a generated document?
You can't edit the PDF, but you can re-generate. Each version is timestamped and kept for the audit trail. Editing the body of a procedural document after it's been served is exactly what gets cases overturned, so the workflow nudges you toward generating a fresh one instead.
CCMA bundle
What's in a CCMA bundle?
A single indexed PDF: cover page with the case summary, table of contents, every document generated for the case in chronological order, the employee's warning history, and an audit trail of who generated what and when.
Why is the bundle a separate charge?
Most disciplinary cases never go to arbitration. Building the bundle into a higher monthly fee would mean every customer pays for a feature most never use. R199 per export keeps the monthly cost honest.
Can I download a bundle after I've cancelled?
For 30 days after cancellation, yes — your account is read-only but your data is still there. After that, soft delete; after 12 months, hard delete.
Data and POPIA
Is my data secure?
Encrypted at rest. File downloads use signed, expiring URLs — there are no public buckets. Strict per-account isolation: nothing in CasePilot can read another account's cases, employees, or documents.
Where is the data stored?
PostgreSQL on a Hetzner-hosted Supabase project; documents on Cloudflare R2. Both data centres operate under contracts that meet POPIA cross-border transfer requirements.
Are you POPIA compliant?
Yes. Retention policy: active account — held indefinitely; cancellation — 30 days read-only access for export; then soft delete; hard delete after 12 months. Notifications go out at cancellation, day 25, and 30 days before purge.
Can I export my data?
Yes — every document is a PDF you can download from the case page. The CCMA bundle gathers everything into one file.
Account and users
How many users can I add?
Three on Starter, five on Growth, unlimited on Business. Roles are owner (everything including billing), admin (all cases, no billing), and staff (only assigned cases).
Can I move from one tier to another?
Yes — up or down, any time. Upgrade is prorated against the rest of the period. Downgrade takes effect at the next renewal.
Does CasePilot work in Afrikaans?
Yes. The platform UI and every generated document is available in Afrikaans. Volledig in Afrikaans beskikbaar.
What if my employee count changes?
You're free to keep using the tier you're on as long as the headcount fits. If you grow past it, we'll prompt you to upgrade rather than blocking access.
